Courier & Shipping at the Buyer’s Expense :

When it comes to courier and shipping, the buyer typically bears the cost of transportation. This means the buyer is responsible for the shipping fees, including the choice of courier service, delivery timeframes, and any additional costs associated with the delivery process, such as taxes, duties, or custom clearance fees (in the case of international shipments). The seller does not absorb these costs unless otherwise specified in the sale agreement.

Seller’s Responsibility : Ensuring Accuracy in Details and Packaging :

While the buyer is responsible for paying the shipping costs, the seller has critical responsibilities to ensure the goods are properly prepared for shipping and transit:

1. Correct Weight & Dimensions :
  • Accurate Measurements: It is essential that the seller provides the correct weight and dimensions of the goods being shipped. Shipping carriers often base their charges on either the actual weight or the volumetric (dimensional) weight of the package. Incorrect weight or dimension details may lead to unexpected charges, delays, or issues with the delivery.
  • Verification: The seller must verify the weight and size of each item being shipped, including packaging, to ensure that the correct information is submitted to the courier service. Providing inaccurate data can result in the courier service re-weighing or re-measuring the goods, potentially leading to higher charges or delays.
2. Proper Packaging :
  • Protection from Damage: The seller must ensure that the goods are adequately packaged to avoid damage during transit. Packaging must be robust and durable enough to withstand the rigors of the shipping process, which can involve handling, stacking, and movement during transportation.
  • Packaging Materials: The seller should use the appropriate packaging materials (e.g., bubble wrap, foam, corrugated boxes, stretch film) to safeguard fragile or delicate items. The packaging must also comply with the courier service’s guidelines for safe and secure transport.
  • Securing Contents: For larger or bulkier items, sellers must ensure the goods are securely fastened within the packaging to avoid shifting or breakage during transit. This is particularly important for heavy goods, which may require additional strapping or cushioning.

Insurance Options for Items During Transit :

Shipping items come with an inherent risk of damage or loss, which is why insurance is often recommended. Both domestic and international shipping services generally offer options for insuring goods during transit.

  • Organizing Insurance: Buyers & Sellers can opt to arrange insurance coverage for the items being shipped, either through the chosen courier service or an external provider. This insurance covers potential damages or loss that might occur while the goods are in transit.
  • Local and International Insurance: Many courier and shipping services provide insurance options for both domestic and international shipments. However, the terms, coverage limits, and premiums vary based on the shipping service, the value of the goods, and the shipping destination.
  • Limitations of Coverage: It is important for the seller and buyer to understand what is covered by insurance, including the specific risks that may be excluded. Items with high value or unique characteristics may require specialized insurance or additional coverage.

Exemption of Liability for GEARHub

It is important to note that GEARHub is not liable or responsible for any damages that may occur to the goods during the shipping process from point A (the seller’s location) to point B (the buyer’s location). This exemption applies to both domestic and international shipments.

  • Liability Waiver: As per the terms and conditions of the sale, once the goods are dispatched and in the hands of the courier service, GEARHub assumes no responsibility for damages, loss, or theft that may occur during transportation. The buyer, by accepting the terms of sale, agrees to bear responsibility for any risks involved during the shipping process.
  • Third-Party Responsibility: The courier service or shipping company chosen by the buyer is responsible for the transportation of goods. If any issues such as damages, loss, or delays occur, the buyer must directly liaise with the courier service to resolve the matter. It is highly recommended that buyers take appropriate steps, such as purchasing insurance, to mitigate potential risks during transit.

INTERNATIONAL SHIPPING :

Because prices on GEARhub tend to be 20-40% less than typical retail prices in the U.S, U.K, Japan, or Europe, there’s a huge demand from international buyers.

Shipping carrier information

You are free to use whichever carrier you prefer for your shipments. Please note that if you use a national carrier, like your local postal service, the package will be handed over to the recipient’s country’s national carrier. If you arrange the shipment with an international carrier (UPS, FedEx, DHL, etc.), the shipment will be handled by that carrier throughout its journey.

Sellers are responsible in the event any package gets lost or damaged in transit. We recommend insuring your shipment, receiving tracking information from the carrier, and rounding up your listing’s shipping costs to account for these factors.

Communication is key

Communicate well. Ensure international buyers are aware they are responsible for taxes in their country.

  • The buyer is typically responsible for taxes, duties and customs fees.
  • It varies by country, but most governments charge local tax plus import duty. For example, most guitars imported to the U.K. pay a VAT rate of 20% plus a Duty of 3.7%.
  • The shipping provider will collect these costs from the buyer before releasing the package.
  • A fee is charged for clearing customs paperwork. USPS is significantly less expensive than UPS or FedEx.
  • Most worldwide deliveries take 5-10 days, though high-value packages may be held by customs inspections for 2-4 extra weeks.
 
Steps for shipping :

Fill out a customs form : The main customs form required is a Commercial Invoice; your shipping provider will have a template.

  • Most information is straightforward, such as address, dimensions, etc.
  • You will need to enter a Harmonised Tariff Schedule. This is a standard classification and can be found here. For example, an electric guitar is 9207.90.
  • A “Waybill” number is just the tracking number on your shipping label.
  • The “Reason for Export” will typically be a sale.
  • Make the description as specific as possible. For example, “A red 1998 Gibson ES-335 semi-hollow body electric guitar, serial number 915480300.”
  • The country of origin is where the instrument was manufactured, not where you’re shipping from.

Additional tips
  • Try to choose the best shipping service for the smoothest transaction.
  • When packaging, be sure to include the customs form on the outer packaging, ideally in a clear packing envelope so the agent can clearly see this. We also recommend putting a copy inside to be safe.
  • PRO TIP> Be careful with vintage instruments that contain restricted materials like tortoiseshell, Brazilian rosewood, or ivory—you may need a license to ship them.
  • Many vintage guitars may contain materials from endangered species and can’t be exported due to the CITES treaty.
  • If your instrument was manufactured before the date a species was added to the convention (i.e. 1992 for Brazilian rosewood), you are exempt if you get a permit. However, it can take several months and hundreds of dollars to receive a permit.
  • International Shipping & Customs: While we do not control the customs fees, we also cannot mark your order as a Gift as so to avoid the fees altogether, so please don’t ask us to do this. Your order will be fulfilled and tracking will be uploaded for you, but keep in mind that most international shipments take anywhere from 2-4 weeks to arrive depending on your delivery service.
